Welcome to CareerConcierge.io. We respect your privacy and are committed to protecting your personal data. This privacy policy explains how we collect, use, and safeguard your information when you use our services, including the CareerConcierge Chrome Extension.

CareerConcierge.io is operated by CareerConcierge.io, based in the Netherlands. For GDPR purposes, we act as the data controller of your personal information.

2. Information We Collect

We collect information that you provide directly to us, including:

• Name and contact information
• Account credentials
• Payment information
• Usage data and preferences
• Communication data

3. Chrome Extension — Data Collection and Usage

The CareerConcierge Chrome Extension is designed to assist you with job applications. Here is exactly what the extension accesses and why:

Page Content Access

The extension reads webpage content — specifically job descriptions and application form questions — on websites you visit that appear to be job listings or application forms. This content is sent to our servers for AI processing to help generate tailored resumes, cover letters, and application answers.

The extension only activates on pages that match job listing or application form patterns. It does not read, collect, or transmit content from unrelated pages.

Permission Justification (<all_urls>)

The extension requires broad host access because job postings and application forms appear on thousands of different websites. The extension only processes page content when it detects a job-related page. No browsing history, passwords, or unrelated personal data is collected.

What Is Stored Locally in Your Browser

• Authentication state (to keep you signed in)
• LLM extraction results cached locally in your browser for up to 24 hours (stored under cc_llm_* keys in Chrome's local storage)
• Position context data cached locally for up to 7 days (stored under positionCache:* keys in Chrome's local storage)
• In-memory job page text — held only for the current browser session and cleared when the extension's service worker restarts

All cached data is stored on your device only and is not transmitted to our servers unless you trigger a generation action (e.g. generate resume, cover letter, or match report). No browsing history, passwords, or personal data unrelated to job applications is collected or transmitted.

4. How We Use Your Information

We use your information to:

• Provide and maintain our services
• Improve and personalize user experience
• Process payments and transactions
• Send administrative information
• Provide customer support
• Generate AI-assisted job application materials (resumes, cover letters, answers) via the Chrome Extension

5. Third-Party Data Processors

We share data with the following third-party processors to deliver our services. Each processor is bound by appropriate data processing agreements:

• OpenAI. We send your profile, resume, and the job description for the role you are working on to OpenAI's API to generate match reports, tailored resumes, and application answers. Under OpenAI's API terms, this content is not used to train their models. See OpenAI Privacy Policy.
• Anthropic. We send your profile, resume, and the job description to Anthropic's API (Claude) to generate cover letters. Under Anthropic's commercial API terms, this content is not used to train their models. See Anthropic Privacy Policy.
• Firebase / Google Cloud — Used for hosting, user authentication, and database storage. See Google Privacy Policy.
• Stripe — Used for payment processing. Stripe handles all payment card data; we do not store card details on our servers. See Stripe Privacy Policy.
• Google Analytics, Google Tag Manager, and Google Ads — Our marketing website (careerconcierge.io) uses Google Analytics (G-FJM4G73Y9R), Google Tag Manager (GTM-PFWLXSSC), and Google Ads conversion tracking (AW-954189914) to understand how visitors find and use the site and to measure the effectiveness of our advertising campaigns. These services collect page views, clicks, IP address (anonymised where possible), device and browser information, and referral source. This data is processed by Google LLC and may be transferred outside the EEA under Google's Standard Contractual Clauses. Legal basis: legitimate interest in understanding site usage and optimising marketing spend. Retention: governed by Google's own retention settings (default 14 months for Analytics). You can opt out of Google Analytics measurement at tools.google.com/dlpage/gaoptout. These tracking tools apply only to the careerconcierge.io marketing website — they are not loaded by the Chrome Extension. See Google Privacy Policy.

6. AI Processing and Your Data

CareerConcierge uses AI to generate your match reports, tailored resumes, cover letters, and application answers. This section explains exactly what that involves.

What we send

To produce these documents we send the relevant inputs to our AI providers: your CareerConcierge profile and resume, the job description for the role you are working on, and, for application answers, the text of the questions on the application form. We do not send anything from pages that are not job listings or application forms.

Where we send it

We use two AI providers through their APIs: OpenAI (for match reports, tailored resumes, and application answers) and Anthropic (for cover letters). These requests are made by our own Google Cloud Functions, not from your browser or the Chrome Extension directly.

How your data is handled there

Under OpenAI's and Anthropic's API terms, the content we send is not used to train their models. Both providers may retain API data for a limited period (up to 30 days) for abuse and misuse monitoring, after which it is deleted. Neither provider shares your data outside of providing this service to us.

What we keep

The documents the AI generates are saved to your CareerConcierge account in Google Cloud Firestore, hosted in the European Union (the eur3 multi-region). They stay there until you delete them. You can delete individual documents, or your entire account and all associated data, from your account settings at app.careerconcierge.io/settings.

Who else can see this data

No one beyond the providers needed to run the service. The AI providers named above process your inputs to generate your documents, and Google Cloud (Firebase / Firestore) hosts and stores them. We do not sell your data, we do not share it with advertisers, and the Chrome Extension contains no third-party analytics or tracking SDKs.

7. Data Retention

We retain your data as follows:

• Generated resumes, cover letters, and application answers are stored in your account until you choose to delete them.
• LLM extraction results cached in your browser are retained for up to 24 hours; position context data is retained for up to 7 days. All cached data is stored on your device and is not transmitted to our servers unless you trigger a generation action.
• Account data (profile, preferences, generated documents) is retained until you delete your account. Upon account deletion, your data is removed within 30 days.

8. Data Security

We implement appropriate security measures to protect your personal information. However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

9. Your Rights (GDPR)

If you are located in the European Economic Area, you have the following rights under GDPR:

• Access your personal data
• Correct inaccurate data
• Request deletion of your data
• Object to data processing
• Data portability — you can request an export of your data at any time by contacting us
• Withdraw consent where processing is based on consent

Legal basis for processing: We process your data on the basis of contract performance (to deliver the services you signed up for) and legitimate interest (to improve and secure our services).
